Our Tuesday Inspiration - Freedom is Simplicity

Good morning Tuesday, everyone!

We’ve all heard of the rule in the kitchen mise en place.  As a VA, I always try to find means and ways to stay organized. It kinda makes me feel good when things are where they are supposed to be.  It’s also a way to appease the control-freak in me!  Most importantly, it frees up my mind from having to remember where I filed something or what I need to do on a certain date.  When paper is piling up, I definitely know that I’m due to spend some quality time with my paper shredder :)

Here’s a few tips that I hope will help you in your own organizational challenges:

  1. Sort out your thoughts before you start tackling clutter.  Know what it is that you need and be ready to let go of the things that you don’t need.
  2. Be ruthless about what you keep and what you should throw away.  Have I used this in the past six months?  If not, let it go!
  3. Be creative - use colored folders to classify your files.  Create folders in your inbox so that you can file opened messages in their respective folders.  Keep your inbox clean and up-to-date. 
  4. Sort it, file it! There’s no point to keeping it all color-coded if it doesn’t make it to the filing cabinet.  One of the main reasons for desk clutter is not putting things back in its place right after using it.
  5. Be very clear of what is URGENT vs. IMPORTANT.  We tend to fall behind and get disorganized due to these. 
  6. Lastly, KISSKeep It Simple, Sassy!  Come up with systems that complement your style.  If your current system works, stick with it!

Being organized is not really hard.  So get rid of clutter, time-wasters and unproductive habits. 

Remember:  FREEDOM is SIMPLICITY :)

Welcome 2009! Be the Change…

Happy New Year, everyone!

OK - well, not quite new anymore.  My apologies for neglecting to post.  I have made a conscious decision to post if not regularly at least once a week.  We’ll see where this will take me :)

It’s usually at the beginning of a new year that we all create resolutions.  A friend of mine asked me what is my resolution for 2009.  My answer - NONE.  Over the years I have made various resolutions that lasted only for a few weeks.  It is sad - but I have also learned that resolutions don’t always work for everybody.  So, I am expressing my intentions - YES! 

Intentions are better.  I bring it out to the universe what it is that I truly, honestly would like to accomplish.  I am constantly reminded about my purpose.  For 2009, my intention is to be the change.  I reminded myself that the world will be a better place to live in if the change that I look for in others begins with me.  So here’s a shortlist of the things that I know I could improve on: 

  1. I will not whine or complain about not having enough but instead be grateful for what I do have. 
  2. I will no longer spend time on projects that I do not like but instead seek out more creative and meaningful work.  
  3. I will not tolerate people and stick with relationships that do not work.
  4. I will free myself from unhealthy habits and will make an effort to improve my health before it bottoms out!

14 days until Christmas…

My, time does fly!  I’ve been snowed and haven’t had a chance to blog.  

OK this might sound like a lame excuse for those of you out there that came to this world with the blogging gene.  I, however, am more into micro-blogging i.e. Twitter.  And so, I have made Blogging as one of my New Year’s Resolutions.  I would love to hear your thoughts on what you’d like to read more about - let me know! 

And yes, November was a great month for me.  My VANA community awarded me with the VAccolade Business Entrepreneur Award for the week of November 23rd.  And here is a press release that talks about this award.

A beginning of a new era…

Good morning!  It’s a glorious day here in Toronto and I just can’t help but feel really grateful for today.  I was tired last night and didn’t really have the energy to stay up late to watch the final moments of the  2008 US Election Day.  And today, I thought I’d post the Acceptance speech of the newly-elect US President Barack Obama.

I’ll be very interested as to how fast the transition will be.  What would be his first agenda?  The economy?  The war on terrorism?  Healthcare?  Whatever it is, Obama’s rise to the US Presidency goes to show that there is power in the use of Social Media.  And most important of all, America has “matured” as a voter and has gone beyond racial issues that has been such a huge part of the electoral campaign.  Congratulations, America!

The Free World has finally awaken to new beginnings.  Be nice~the world is watching :)   Blessings, everyone!

What IS a VA?

There is an ongoing conversation about a survey for Virtual Assistants.  And what it boils down to is this question:  What exactly does a Virtual Assistant do?

First and foremost, I would like to say that this industry is a young and thriving one — which is why I got drawn into it.  There is an abundance of knowledge and the opportunities are endless!  This industry takes the guesswork out of finding your niche market because it encourages you to capitalize on your strengths and build your business around it.  Which brings us back to our initial question:  What is a VA?

I’d like to share this article from Alexandria Brown – here she highlights both the advantages of having a VA as well as what services VAs provide. 

It’s good to know that the Virtual Assistant has evolved from being a task-doer secretary to a visionary business partner.  It only makes good business sense to capitalize on one’s strengths.  Let’s get the word out there about our industry and continuously educate businesses - the virtual way!

“Why Are You Doing Everything Yourself?”

One problem I often see with solo entrepreneurs is that their businesses aren’t growing because they’re simply not making enough time to do it!

It’s not that they don’t understand the value of those efforts, or they don’t WANT to make the time. It’s that they’re simply trying to do too much by themselves. They’re so busy running their business that they’re not working ON their business.

Are You Spending All Your Time on the Little Stuff?

Owning your own business requires wearing a lot of hats. But it seems that when many people leave their jobs to “go solo,” they think they must work completely solo as well. They insist on doing everything themselves — even tasks they know darn well they’re not good at.

They try in vain to design their own Web sites and brochures, write their own sales copy, process their own orders, manage their own mailing list, personally respond to every customer call and e-mail, ship their own products, and more. Pretty soon they’re running around like that proverbial headless chicken.

What eventually happens is their love for their work — the reason they started their own business in the first place — drowns in a flood of administrative trivia. Suddenly one morning they wake up feeling burnt out and without that positive, creative energy they used to have.

When this happened to me a few years ago, I was lucky to learn about virtual assistants (VAs). VAs are freelancers who take care of all that “busy work” for entrepreneurs like us. Because VAs are independent themselves, they work on an as-needed basis from their own homes or offices, saving you the cost and hassle of hiring a regular office assistant.

I now have six VAs — Liz, who lives in Boston, Julie, who lives in Iowa, and a few others scattered all over the country. And I can’t live without them!

What Could YOU Delegate to a VA?

During next week, keep a log of all your activities. Then sit down and review it. Decide which activities are truly ones that only you can do and which you can delegate.

For example, here are some of the tasks I delegate to my VAs:
* Responding to customer e-mails and phone calls
* Scheduling business and personal appointments and interviews
* Bookkeeping: invoicing clients, receiving and paying bills, reconciling bank statements, tracking expenses and tax records, working with my accountant (This was my favorite to delegate!)
* Internet research and fact checking
* Planning my travel for speaking engagements and seminars
* Maintaining my e-zine and customer mailing lists
* Managing my e-zine ad sales
* Handling registrations for my teleclasses/workshops
* Maintaining my Web site (copy edits, additions)
* Creating sales reports
* Shipping customer orders and shipping products to anywhere I’m speaking.
* Submitting my articles to other publishers and article sites
* Placing ads in publications and at Web sites.
* Formatting e-books, creating PDF files, and sending out for printing.
* Designing PowerPoint presentations

And I don’t stop there. My VAs have also been happy to help me with personal stuff like researching vacations, shopping around for car insurance, and reminding me of birthdays and other important dates. Thanks to these amazing gals, I save my time and energy only for my “genius work.”

Worried You Don’t Have the Budget?

The good news is you’re not hiring your VA full time. A VA only charges you for the hours she actually works. Although VA rates may be more than you’d pay an administrative employee (usually $30-50 per hour), you don’t have the added expenses of employee benefits, office space, and equipment. You’re also getting someone who has years of experience, who loves what she does, who already has her own desk, chair, computer, software, fax, phone, stapler, and pens, and who’s ready to leap in and start work as soon as you are.

Keep in mind that having a VA will IMMENSELY free up your time to focus on the stuff that matters: marketing and growing your business, developing bold new product ideas and income streams, and servicing your larger clients. You’ll think much bigger and will have much more creative energy. I guarantee it!

The one thing you need to add on your “to-do” list

Hi everyone,

It’s been very hectic for me as I continue to thread my so-called “double life”.  I still am fully engaged with my corporate job and still am in the tail-end of my Virtual Assistance (VA) practice start-up.  Fun stuff, indeed :)

I recently turned another year older.  Although, I didn’t have the opportunity to really celebrate, I had a chance to recollect and look deeper within me.  Every year, I would set a short-term goal for myself.  This year, I have made the conscious decision to let go of fear and embrace the call of Entrepreneurship.  Hope you’ll all stick around to cheer me on as I embarked on this journey. 

For the past several years, the short-term goals that I have set have been consistently achieved.  We are creatures of habit and I know that setting goals is one thing while achieving them is another.  And for this, I am grateful! 

I have below an article that I would like to share with everyone - hope you consider another thing to add on your “to-do” list.

How to Blow the Lid Off Your Life –

The ONE Thing You Should Do Everyday

Much like a computer, we are “programmed” to live our lives based on the information that has been “loaded” into our system. Our program is written by the direct and indirect messages we receive from our parents, our environment and our life experiences. And, like a computer, we will operate in a predictable way until a new program is loaded. Sometimes that means deleting old files and/or upgrading our system. In other words, we’ll keep seeing the same results over and over again until we let go of old ways of thinking and integrate a better way of being.

With so many techniques available for self-actualization, it is easy to become overwhelmed and do nothing. But if you change nothing, nothing will change. As a life coach, I’ve learned that the best solution for inertia requires two things: an attitude of “less is more” and ONE clear commitment to a daily activity that can snowball into ever-increasing expansion in one’s life.

This ONE thing that you should do everyday is spiritual practice.

A spiritual practice is the means by which we re-program ourselves. Although it is certainly possible to develop a profound spiritual practice that requires a significant time commitment, if you’re new to the idea, your existing programming could be the very thing that sabotages the desire to reprogram yourself. If this is case, it is important to keep it simple. The kind of spiritual practice that can be a catalyst for true transformation includes certain basic ingredients. You can use any method you like, as long as you address the necessary elements.

Recipe for a Spiritual Practice

  1. Create a Space – The first step in any spiritual practice is to create the mental space for divine inspiration and new information. It is through this space that we allow the creative energy of the Universe (i.e. Source Energy) to come into our lives. Meditation is the most common way to create the space. There are numerous techniques for quieting and training the mind. The simplest way to begin is with a moment of silence. Often one moment will extend in to many moments. Your only objective here is to BE. Release every expectation about how the experience “should” be and simply be still. The act of creating this space essentially opens the door to realms of wisdom beyond common understanding. Sometimes information comes in the silence, but often times it comes unexpectedly as you go about living your life.
  2. Set Forth Your Intentions – To set forth your intentions means to identify what you want. The easiest way to do this is through writing. Try keeping a “spiritual practice notebook” and write down not what you think you can have or should want, but your deepest heart’s desires. “I gratefully see myself (being, doing, having… fill in the blanks).” Another great way to set forth your intentions is to create a collage with cut-out images and words from photos and magazines. Keep them handy for your daily spiritual practice. You need only set forth new intentions as they reveal themselves. Many times you’ll be focusing on a particular set of intentions for weeks, months and sometimes years.
  3. Magnetize Your Intentions – The Law of Attraction tells us that like attracts like. You magnetize your desires by connecting with the emotions and sensory input you would be experiencing if your intentions had already manifested. Much like the pretending games of children, you pretend that your desire has already come true. Go into your imagination and daydream with gusto. Be the You in your vision. Summon the emotions, see the images, hear the sounds, and feel the sensations of your new reality as if it were now. An alternate way to do this is to pull out your collages and look over them as if you were viewing a photo album which captures the fondest memories of the life you are living now.
  4. Release Your Intentions – When your intentions are clear and you consistently practice magnetizing them, it is essential that you release them to be manifested in the best possible way. You release your intentions with a simple statement, out loud or silently. Simply say to yourself, “I release all of this to the highest good in trust and gratitude.” To release your intentions is to let go of control. You surrender your desires in trust to the highest good of the Universe, knowing that Source Energy is orchestrating every detail to be revealed in perfect timing. Your job is simply to act in faith on the opportunities that appear in your life.
  5. Expand Your Consciousness – Your programming can only expand with new information. So a fulfilling spiritual practice must include study of some kind. The best way to approach this is to always have at least two or three resources at your finger tips. Whether you are reading a book, listening to audio or watching a video program, be sure that every single day you are infusing your mind with inspiring and educational information. And remember: less is more. Even if you only read a few powerful lines of text, or listen to fifteen minutes of audio in your car, it is enough to stimulate your mind into new ways of thinking and perceiving yourself and your life.

When and How Often?

The most effective spiritual practice, in line with the “less is more” philosophy, calls for action first thing in the morning and last thing at night, as your head hits the pillow and you drift off to sleep. Your morning practice allows you to program your mind, your behaviors, and your expectations for the day ahead, staving off counterproductive reactivity to whatever life may throw your way. The night time practice gives your unconscious mind powerful material to work with during your slumber. Find ways to keep it simple and dovetail your spiritual practice into your normal routine. By embracing this one clear commitment in your life, the You that has always been inside, will have no choice but to emerge in ways you never imagined!
